About The Role:
The Receptionist plays a key role in ensuring the smooth operation of front desk activities, supporting the department manager, and maintaining a welcoming and professional environment. This role requires a strong focus on customer service, safety, and administrative duties.
Hours of work:
37.5 hours per week, 5 days over 7 on a 3-week rolling rota between the hours of 6.00am and 10.30pm
Key Responsibilities:

Answer all incoming calls within four rings, directing them accurately to the appropriate department or individual

Greet and assist visitors, providing information and directions as needed

Perform administrative and filing tasks as assigned by the Facilities Manager

Ensure all tasks are completed efficiently, accurately, and in line with company procedures

Log and report incidents promptly and accurately
-
Report maintenance issues, safety hazards, and breakdowns through the Helpdesk
-
Serve as the first point of contact for staff, clients, and customers, aiding where required
-
Accurately complete forms and documentation as needed

Deliver high-quality service consistently to all service users

Maintain regular communication with facilities staff, departments, and site occupants

Immediately report any issues that may impact service quality

Participate in relevant training to enhance skills and knowledge

Maintain a professional appearance and adhere to uniform guidelines
-
Provide a comprehensive handover to the next shift to ensure continuity of service

Adhere to the GFM Health & Safety Plan and client safety protocols

Maintain a secure and clean working environment, reducing risks wherever possible

Report and document any accidents or near misses, ensuring first aid provisions are maintained

Follow safe systems of work, using PPE, tools, and equipment appropriately, and ensuring proper storage when not in use
About You:

Previous experience in a similar role is an advantage for this role

Confident telephone manner with clear verbal communication skills

Understanding of switchboard operations
