Bid / Proposals Manager

We seek an experienced individual to join a dynamic Working Winning team.

It s essential that the candidate has experience of working in a design led tendering role ideally within the construction sector or related field. They ll need to be passionate about creating winning tender documents and PQQs and work alongside key stakeholders to manage the process from start to finish. A strategic mind-set is key, taking time to understand the project and client drivers. Time management, efficiency, the ability to meet deadlines and work openly and collaboratively with the team are all essential skills. They will have to cope with a substantial amount of responsibility, remain calm under pressure, and be able to consistently deliver high-quality work to clients and internal stakeholders, checking in regularly with them to ensure this.

Working at a senior level the candidate will be able to design compelling and easy to navigate documents. They may also contribute to compliant, evidence- and benefits-driven written content which supports our customer value proposition. and work with others. They will work with the bid manager and internal stakeholders to establish our win themes and achieve a high score. The candidate should be a highly positive team member with a leadership mindset and ideally have experience of managing others. Team working is an essential part of the role and being able to support, mentor, coach and successfully performance manage others is key. A positive and pro-active mindset is a must to act as a role model for the company values and keeping morale high in this fast-paced team. The manager will be required to look beyond the core technical role of a proposals designer and have an ability to improve processes and adapt ways of working to benefit the team.

Roles & Responsibilities

• Work closely with preconstruction / operations leads and bid managers to understand pipeline and priorities
• Deliver and support others in the team on bids and PQQs at times of high workload
• Support the Group Strategic Proposals Manager in resource planning
• Oversight of all key bids starting before the bid lands
• Respond to ad hoc enquiries and requests for information from across the business
• Liaise with bid leads and work to ensure consistency and assess resource
• Monitor and maintain quality of design output across the team
• Work with other managers to lead process change
• Training and mentoring others in the team on tender and framework processes
• Quickly deal with conflict or issues that could affect the performance of the team
• Engage and influence key stakeholders across the business
• Review pipeline, attend planning meetings and share knowledge of key bids
• Manage assigned templates, related content and support management and development of Digital Asset Library (DAL) input and outputs
• Review materials prior to submission, checking for design consistency, messaging and typos
• Manage and allocate ad hoc jobs
• Share best practice and lessons learnt
• Work with work-winning and marketing colleagues to optimise opportunities and manage workflow

Tender responsibilities

• Manage own tenders and PQQs from start to finish
• Research the project and client to propose ideas that reflect our client s key drivers and communicate our differentiators and approach
• Express ideas/concepts as innovative designs/themes for proposals documents and create all graphics required, (including bespoke packaging, covers, dividers, and graphics, where required)
• Turn written, numerical, and existing content into compelling graphical representations that have impact and are easy to interpret
• Attend bid planning and launch sessions to agree strategy, content, presentation and actions
• Capture and build-in key information by co-ordinating input from effective stakeholder liaison with bid manager, estimator, planner and delivery team members
• Create realistic logistics/sequence drawings
• Ensure timely submission of tenders and related materials
• Prepare material for post-tender interview and responses, including interactive presentations, incorporating media such as film, flash etc.
