Commercial Contracts Assistant


About The Role:


We are looking for a detail-oriented and proactive Commercial Contracts Assistant to support the management and administration of Private Finance Initiative (PFI) contracts, ensuring that contractual obligations are fulfilled, compliance is maintained, and effective communication is facilitated between all parties involved. The role includes monitoring performance, assisting with financial tracking, and supporting contract variations or amendments, while collaborating with internal and external stakeholders to ensure the smooth delivery of services.

Key Responsibilities:

  • Assist in maintaining and organizing contractual documentation, amendments, and records
  • Ensure contracts are executed in accordance with their terms and conditions
  • Assist with the review and administration of contract variations, changes, and extensions
  • Track and report on service delivery performance against key performance indicators (KPIs) and service level agreements (SLAs)
  • Support audits, reviews, and assessments of contractor performance
  • Assist in identifying risks and ensuring appropriate mitigation strategies are in place
  • Act as a point of contact between internal departments and external contractors
  • Assist with stakeholder meetings, including preparing agendas, minutes, and actions
  • Facilitate communication and issue resolution between public and private sector partners
  • Ensure that contract activities comply with legal, regulatory, and policy requirements
  • Maintain accurate records of all contract correspondence, changes, and performance data
  • Assist in ensuring compliance with health and safety, environmental, and regulatory standards
  • Collect, analyse, and report data on contract performance and financial status and risk
  • Prepare regular reports and updates, highlighting key issues, risks, and opportunities
  • Proactively partake in jeopardy management of helpdesk related tasks
  • Assist with the preparation, processing, and review of payments and invoices supporting the calculation and application of any performance-related penalties or deductions
  • Identify any Commercial non-conformities and assist with development of action plans
  • Ensure the completion of internal audits, assessments and inspections to verify effective implementation and conformance to legislation, standards and IMS

About You:

  • Previous experience in contract management, project management, or financial administration, ideally in PFI or public-private partnerships is essential
  • Experience in working with large-scale infrastructure or public sector projects is an advantage
  • Strong communication and presentation skills, ability to persuade, negotiate and influence
  • Analytical thinker, address problems and issues with a timely and systematic approach
  • Strong organisational and administrative skills with a high level of attention to detail
  • Proficient in Microsoft Office (Excel, Word, PowerPoint) and contract management software
  • Excellent communication and interpersonal skills
  • Analytical skills with the ability to interpret data and performance reports
  • Proactive and passionate about making a difference
  • Resilient and adaptable and able to work autonomously and well under pressure
  • Possess strong leadership, negotiation and communication skill
