Hybrid Executive Assistant – London (Rolling Contract) My client is a multinational consultancy specialising in consultancy and project management services to the construction industry. They are a Sunday Times top 100 employer. Due to staff absence my client is in urgent need of an EA to start ASAP for a minimum of one week and probably longer. You must be an experienced EA with director level experience. Based in the Shard in London you will be required to be in the office for at least 3 days a week and can work from home for 2 days. Key Responsibilities: * Proactively manage, organise the Director to focus on the priorities at hand, acting as gatekeeper. * Ensuring the smooth day to day running of a complex diary, managing calendar conflicts proactively, allowing adequate time for travel and preparation in between meetings and planning ahead. * Ensuring adequate preparation for meetings including printing of paperwork and research, making sure they have everything for meetings. * Organise video and telephone conference calls in different time zones in line with complex diaries of other Senior Management (both internal and external). * Assist with the preparation and collation of documents for all meetings chaired or attended to by him, ensuring all documents are referenced and presented in accordance with brand guidelines. * Assist with reparation of global reports and following up on actions ensuring they are complete within adequate time. * Handling of travel and accommodation requirements both nationally and internationally, preparing travel itineraries and arranging visas. * Preparing reports and PowerPoint presentations for meetings and ensuring he is fully prepared for the week ahead. * Working closely with all other EAs in the business to ensure aligned on work priorities and informed of upcoming events. * Working with Marketing and providing admin support relating to communications internally and externally. * Organising conferences and events. Essential: * Must have previous PA/EA experience in supporting Senior Leaders. * Able to stay professional and calm under pressure, assertive, confident to communicate at a range of levels both internally and externally. * Proactive and resilient, adaptable to quick / last minute changes in diary, flexible, persistent, and focused with the ability to think logically using own initiative. * Good attention to detail and strong organisational skills. Must maintain a high level of confidentiality at all times. * Ability to prioritise workloads, work under pressure and meet tight deadlines. * Creating and maintaining good relationships with other Executive Assistant’s and colleagues within the business. * Proficiency with MS Office and Teams.
